Introduction
Welcome to TaxManager, a secure, web-based tax return management system designed specifically for Pakistani tax consultants and their clients. This guide will walk you through every feature and help you make the most of the platform.
TaxManager operates on a "user-owned data" model. The server is a calculator that processes your data, but you retain full ownership. You can download encrypted backup files (.bak) containing all your data and store them safely on your own devices.

Getting Started
Registration
To create your account:
- Visit the login page and click "Register"
- Fill in your details:
- Name: Your full name
- Email: A valid email address (you'll need to verify it)
- Password: Minimum 8 characters, mix of letters, numbers, and symbols
- CNIC: Your Computerized National Identity Card number (encrypted)
- NTN: Your National Tax Number (encrypted, optional)
- Phone: Your contact number (encrypted)
- Click "Register"
- Check your email for a verification link
- Click the verification link to activate your account
Your CNIC, NTN, and phone number are encrypted in the database. Even administrators cannot view this information. Keep your password secure!
Login
Once registered and verified:
- Enter your email and password
- Click "Sign In"
- If you have 2FA enabled, you'll be prompted to enter your authentication code
- You'll be redirected to your dashboard
Two-Factor Authentication (2FA)
For enhanced security, enable two-factor authentication:
- Click your profile icon in the top-right corner
- Select "Profile"
- Find the "Two-Factor Authentication" section
- Click "Enable 2FA"
- Scan the QR code with your authenticator app (Google Authenticator, Authy, etc.)
- Enter the 6-digit code from your app to confirm
- Save your backup codes in a secure location
2FA adds an extra layer of protection. Even if someone obtains your password, they cannot access your account without the authentication code from your device.
Creating Your First Tax Return
After logging in, you'll see the Tax Returns dashboard. To create a new return:
- Click the "Create Tax Return" button (usually in the top-right)
- Enter the tax year (e.g., 2026)
- Click "Create"
- You'll be taken to the spreadsheet view for that year
If you have previous years' data, the system will automatically import opening balances, assets, and liabilities from the most recent year. You can then adjust these values for the current year.
Understanding the Dashboard
The dashboard displays:
- Year: The tax year
- Status: Draft or Submitted (dropdown to change)
- Total Income: Sum of all income entries
- Net Assets: Total Assets minus Total Liabilities
- Reconciliation: Badge showing if the return is balanced or unbalanced
- Actions: Edit, Delete, and Reconciliation Summary buttons
Understanding the Spreadsheet
The spreadsheet is the heart of TaxManager. It's divided into 8 categories, each serving a specific purpose in the tax calculation.
Categories Explained
1. Opening Balances
Cash and cash equivalents at the start of the tax year:
- Cash in hand
- Bank accounts (savings, current)
- Prize bonds
- Other liquid assets
2. Assets
Everything you own with monetary value:
- Real Estate: Residential, commercial, agricultural property
- Vehicles: Cars, motorcycles, etc.
- Investments: Stocks, mutual funds, bonds
- Bank Deposits: Fixed deposits, term certificates
- Personal Effects: Jewelry, electronics, furniture
- Other Assets: Any other valuable possessions
3. Liabilities
Debts and obligations you owe:
- Bank loans (home, car, personal)
- Credit card balances
- Tax payable
- Other liabilities
4. Income
All sources of income during the tax year:
- Salary: Government, private sector
- Business Income: Profit from business activities
- Rental Income: Income from property rentals
- Capital Gains: Profit from selling assets
- Online Income: Freelancing, e-commerce, etc.
- Other Income: Gifts, inheritance, etc.
5. Documented Expenses
Expenses with proof (receipts, invoices):
- Rent payments
- Utility bills (electricity, gas, water)
- Education fees
- Medical expenses
- Insurance premiums (excluding life insurance)
- Other documented expenses
Life insurance premiums are NOT included in documented expenses for reconciliation purposes. They are treated as asset transfers and are handled separately in the balancing formula.
6. Undocumented Expenses
Daily living expenses without formal receipts:
- Kitchen/groceries
- Clothing
- Medical (out-of-pocket)
- Transportation
- Entertainment
- Gifts and donations
- Balancing Expense: Auto-calculated to reconcile the return
7. Income Tax Expense (Auto-Calculated)
This is automatically calculated based on:
- Withholding tax (WHT) paid during the year
- Tax payable for the current year
- Tax receivable/refundable
- Previous year's tax position
Note: This field is read-only and cannot be manually edited.
8. Advance Tax (Withholding Tax)
Tax deducted at source on various transactions:
- WHT on salary
- WHT on bank transactions
- WHT on property transactions
- WHT on online income
- Other advance tax payments
Data Entry
Entering data is straightforward:
- Add a new row: Click the "+ Add Row" button in any category section
- Select Nature: Choose the appropriate nature from the dropdown (e.g., "Salary Government", "Real Estate Residential")
- Enter Description: Add a brief description (e.g., "Honda Civic 2020", "Apartment DHA Phase 5")
- Enter Amount: Input the monetary value
- Save: Changes are auto-saved as drafts. Click "Permanent Save" to finalize
Click directly on any description or amount field to edit it. Editable fields have a dashed underline. Changes are saved automatically as you type.
Historical Data Comparison
The spreadsheet shows up to 3 previous years of data side-by-side:
- Current Year: The year you're working on
- Prev 1: Previous year (e.g., 2025 if current is 2026)
- Prev 2: Two years ago
- Prev 3: Three years ago
This helps you:
- Track changes in assets and liabilities over time
- Identify trends in income and expenses
- Ensure consistency in your reporting
If an asset was sold or removed in the current year but existed in previous years, it will still appear in the spreadsheet with a blank current year amount but populated historical columns. This helps you track the complete history of your assets.
Reconciliation
Reconciliation ensures your tax return is mathematically correct. The system checks if your financial position makes sense based on the fundamental accounting equation.
The Reconciliation Formula
TaxManager uses a sophisticated tax-aware formula:
A = Change in Net Worth
A = (Current Year Net Worth) - (Previous Year Net Worth)
Where Net Worth = Total Assets - Total Liabilities
B = Net Funds Generated
B = Total Income - Total Expenses - Life Insurance Expense
Where Total Expenses = Documented + Undocumented + Income Tax Expense
Balancing Expense = A - B
In simple terms:
- A represents how much your wealth actually changed
- B represents how much money you should have generated based on your income and expenses
- If A = B, your return is perfectly balanced
- If A ≠ B, there's a discrepancy that needs to be explained
Balancing Expense
When your return is unbalanced, the system calculates a "Balancing Expense" to make it balance. This represents unexplained changes in your financial position.
To apply the balancing expense:
- Look at the top-right of the spreadsheet
- You'll see a status indicator (green "Balanced" or red "Unbalanced")
- If unbalanced, click the "⚖️ Apply" button
- The system will automatically calculate and insert the balancing expense
- The status will turn green, indicating the return is now balanced
A large balancing expense might indicate:
- Missing income entries
- Unreported expenses
- Assets purchased but not recorded
- Loans taken but not documented
Review your data carefully before accepting a large balancing expense.
Negative Balancing Expense:
Sometimes the balancing expense is negative. This is mathematically valid and means you need to reduce your total expenses (or increase income) to balance the return. The system handles this automatically.
Attachments
You can upload supporting documents (receipts, statements, contracts) for any entry in your tax return.
Uploading Attachments
- In the spreadsheet, locate the row you want to attach files to
- Click the 📎 (paperclip) icon in the "Files" column
- A modal will open showing existing attachments (if any)
- Click "Upload New Attachment"
- Select your file (PDF, JPG, PNG, XLSX, CSV - max 5MB)
- Click "Upload"
- The file is encrypted and stored securely
Viewing Attachments
- Click the 📎 icon for the row
- You'll see a list of all attachments for that entry
- Click "View" to download and open the file
Deleting Attachments
- Click the 📎 icon for the row
- Find the attachment you want to delete
- Click "Delete"
- Confirm the deletion
All attachments are encrypted before storage. Files are given random names, making them impossible to identify without decryption. Only you can access your attachments.
Attachments are linked to the entry_code (not the row ID). This means if you delete a year and recreate it with the same entry code, the attachments will automatically be available again.
CSV Import/Export
TaxManager supports importing and exporting data via CSV files, making it easy to work with Excel or other spreadsheet applications.
Exporting Data
- In the spreadsheet view, click the "Export CSV" button (usually in the header)
- The system will generate a CSV file containing:
- All tax years
- All entries with their descriptions and amounts
- Historical data columns
- Special system rows for balancing and tax expense
- The file will download automatically
- Open it in Excel or any spreadsheet application
The CSV includes columns for: ID, Nature, Description, Current Year Amount, and Historical Year Amounts (up to 3 years). System-generated rows (balancing expense, tax expense) are marked with special identifiers.
Importing Data
- In the spreadsheet view, click the "Import CSV" button
- Select your CSV file
- Choose import mode:
- Merge: Updates existing entries and adds new ones (recommended)
- Replace: Deletes all existing data and imports fresh (use with caution)
- Click "Preview" to see what will be imported
- Review the preview:
- 🟢 Green rows: New entries to be added
- 🔵 Blue rows: Existing entries to be updated
- 🔴 Red rows: Errors (invalid data, missing nature)
- If everything looks correct, click "Execute Import"
- The system will process the data and update your return
- The CSV must have the correct column headers (Nature, Description, amounts for each year)
- Nature values must match the system's field types exactly (case-insensitive)
- System rows (balancing expense, tax expense) are automatically recalculated after import
- If importing data for years that don't exist, the system will create them automatically
Two-Pass Import Logic
The import system uses a sophisticated two-pass approach:
- Pass 1: Import current year data and save to database
- Pass 2: Import other years' data, matching entry codes across years
This ensures that entry codes are preserved and reused consistently across all years, maintaining data integrity.
Backup & Restore
TaxManager provides a comprehensive backup system that creates a single encrypted file containing ALL your data.
Creating a Backup
- From the dashboard, click "Backup All My Data"
- The system will generate a
.bakfile containing:- All tax years
- All financial entries
- All attachments (encrypted)
- User profile information
- The file will download automatically
- Store it in a secure location (external drive, cloud storage, etc.)
- Create backups regularly (after major editing sessions)
- Store backups in multiple locations (local + cloud)
- Keep backups for at least 6 years (tax audit period)
- Never share your .bak file (it contains all your encrypted data)
Restoring from Backup
- From the dashboard, click "Restore Backup"
- Select your
.bakfile - Click "Restore"
- The system will:
- Decrypt the file
- Create any missing tax years
- Update existing entries
- Restore all attachments
- Recalculate system rows (tax expense, balancing expense)
- You'll see a success message when complete
- Restoring will merge data with existing data (it won't delete anything)
- The backup is tied to your application's encryption key
- Backups from one TaxManager installation cannot be restored to a different installation

Dashboard Features
The dashboard provides a comprehensive overview of all your tax returns.

- ✏️ Edit: Opens the spreadsheet for that year
- 🗑️ Delete: Deletes the entire tax year (with confirmation)
Reconciliation Summary
Click the reconciliation icon to view a professional, multi-year financial statement:
- Shows current year + 3 previous years
- Displays:
- Total Income
- Less: Documented Expenses (excluding life insurance)
- Less: Undocumented Expenses (including balancing expense)
- Less: Income Tax Expense
- = Net Funds Generated
- Change in Net Worth
- Unreconciled Difference
- Color-coded: Yellow for current year, white for historical years
- Green checkmark (✓) for balanced years, warning (⚠️) for unbalanced
If your return is perfectly balanced, "Net Funds Generated" will exactly equal "Change in Net Worth", resulting in an "Unreconciled Difference" of 0.00 (shown in green).

Password Reset

Q: Can I edit a return after it's been saved?

A: If your return is unbalanced, the Balancing Expense row automatically captures the difference. You can click "Apply" to fill it, or manually adjust your data. This helps you identify missing data or errors.
Q: Is my data safe on this server?
A: Yes. All sensitive data is encrypted in the database, attachments are encrypted on disk, and strict user isolation prevents unauthorized access. However, we strongly recommend regular backups to your own device for maximum safety.
Q: Will this service be free in the future?
A: The current year reconciliation is planned to remain free. Additional features may depend on user status. You can always download your data (CSV or BAK format) and remove it from the server.

Q: What if I accidentally delete a tax year?
A: If you have a backup, you can restore it. If not, contact support immediately. Deletions are permanent, so always backup before deleting.
Q: Can I use this on my phone?
A: Yes! TaxManager is fully responsive and works on smartphones and tablets. However, for extensive data entry, we recommend using a computer with a keyboard.
Q: What browsers are supported?
A: TaxManager works on all modern browsers: Chrome, Firefox, Safari, Edge. We recommend keeping your browser updated for the best experience.
Q: Can I import data from other tax software?
A: You can import CSV files. If your other software can export to CSV, you can likely import it into TaxManager. You may need to adjust the column headers to match our format.
Q: What happens to my data if the service shuts down?
A: You own your data. Download regular backups (.bak files) and store them safely. You can also export to CSV format, which can be opened in any spreadsheet application.

Q: What's the difference between CSV and BAK files?
A:
- CSV: Plain text file, can be opened in Excel, portable to other systems, but doesn't include attachments
- BAK: Encrypted backup file, includes all data AND attachments, can only be restored to TaxManager
Q: Can I have multiple tax returns for the same year?
A: No. Each user can have only one tax return per year. If you need to start over, delete the existing return and create a new one.
Q: How far back can I view historical data?
A: The spreadsheet shows up to 3 previous years. However, you can create returns for any year and view them individually on the dashboard.
Q: What if I make a mistake in my return?
A: Simply edit the return, correct the error, and save again. The system will recalculate everything automatically. If you've already submitted, you can change the status back to "Draft", make corrections, and resubmit.
